Writing Policies for your Nail Salon.
You have done all the hard work in setting up premises, either at home or in a commercial location, gathering all the necessary equipment and products, creating the social media and online resources and now you are ready to open those doors!
You put an ad on FB and get your first lot of bookings. At this point you are likely unable to even get a good night's sleep due to everything running around your head like a jogger on speed! At the end of your first week, you have managed to service your clients, take payments, rebook appointments and happily spend the weekend catching up on much needed rest.
The next week rolls around and client #1 has messaged saying 4 of her nails just popped off, client #2 doesn't show for their appointment, client #3 wants to change the design for free as they weren't happy with what you did and client #4 wants a refund. Eeeeek.... you scream and tremble...dissolve into a puddle of tears.... ask for help on FB... feel the burning desire to shut down your business and run far, far away.
The only thing that will save you in this situation and future challenges like this is POLICIES. Below is a few of the essential policies you should have in place before you open for business, or pretty much NOW if you have already been operating. Clearly set out policies will help you keep your sanity and be able to respond confidently to clients who may otherwise try to take you for a ride. Feel free to use these policies as is or change around as you need copyright free.
Refund & Repair Policy
As a professional nail technician, I strive to provide the best service to all of my clients. However, if something doesn’t go according to expectations, I have a refund and repair policy in place to make sure everyone is satisfied.
If a client has any problems within 48 hours of their appointment, I will take care of the issue with a free repair, as long as the issue is with the service rather than damage caused by the client. After the initial 48hrs, normal wear and tear may occur which I cannot be held responsible for; thus, no free repairs can be offered after that point. My normal repair charge is [insert amount]. I do not offer refunds.
Cancellation & No Show Policy
I value my clients' time and understand that sometimes things come up that may result in needing to cancel or reschedule an appointment. However, to ensure that I am able to serve all of my clients effectively, I have a clear cancellation and no-show policy in place.
If you need to cancel or reschedule your appointment, please provide a minimum 24hrs notice. If you need to reschedule due to an emergency your deposit will be held over for your next appointment. No shows or more than 15 minutes late to an appointment will forfeit their deposit. No shows with no notice or contact will not be rebooked.
Booking & Payment Policy
To secure your booking, a non-refundable deposit of [insert amount] is required at the time of booking. This deposit will be deducted from the final amount due at the end of your appointment. Payment can be made via [insert accepted payment methods] and is due at the end of your appointment.
Please arrive on time for your appointment to ensure that we have enough time to complete your service. If you are more than 15 minutes late, your appointment may need to be rescheduled and your deposit will be forfeited.
Privacy Policy
We value your privacy and are committed to protecting your personal information. We collect your personal information such as name, contact information and nail service details in order to provide you with the best possible service. We will never sell or share your personal information with any third party without your consent, except where required by law.
We may use your personal information to send you promotional or marketing material, but you have the right to opt-out of receiving such communications at any time.
We have implemented appropriate security measures to protect your personal information from unauthorized access, use, or disclosure. We will retain your personal information for as long as necessary to fulfill the purposes for which it was collected or as required by law.
By booking an appointment with us, you consent to the collection, use, and disclosure of your personal information in accordance with this privacy policy. If you have any questions or concerns about our privacy policy, please do not hesitate to contact us.
